NEW STATE LIBRARY OF VICTORIA COPY, PRINT AND SCAN SYSTEM PROVIDED BY BEAR SOLUTIONS

The current copy and print card system is changing to an improved system with the new system going live July 6 2010. To allow this to happen there will be changes to the existing State Library Copy Card.

The existing card will be replaced with a new magnetic swipe card used to access your current copy and print funds.

Following is a range of information outlining the changes to the system, how they affect you and how the new system will operate.

What can I do with my existing State Library of Victoria Copy and Print Card?

If you hold a current State Library of Victoria you have two options.

Firstly your current State Library card can continue to be used for copying and printing however when its funds reach $0 the card must be replaced and cannot be recharged. There are no refunds available on any residual value left on cards.

Secondly you can obtain a new State Library card and transfer funds from the existing card to the new at the simple to use card transfer station located at the Copy Centre (see map).

How To Transfer Funds

To transfer funds from you current State Library card you must first obtain a new State Library of Victoria Copy, Print and Scan card. The new card can be purchased from the large Card Cashier found in the Copy Centre.

HOW TO PURCHASE A NEW CARD AND TRANSFER FUNDS

The new card is provided for free when $3 and over is inserted into the Card Cashier via cash or EFTPOS. All funds inserted $3 and over added to the card as copy, print or scan value. For example if you require a new card you must insert a minimum of $3 and your new Copy Card will be provided with a value of $3. If you insert $5 then the value added to your new card will be $5

If you have an existing State Library Copy Card you can take it to the Transfer Station located in the main copy room to have your funds transferred from the old card to the new. This is a process done by you using a simple transfer process.

How To Copy

The current photocopying system is changing on July 6 to provide a more simplistic and convenient copy process. The new copy system allows you to copy from public access photocopier.

USING THE PHOTOCOPIER

The existing Canon fleet of photocopiers is being replaced with a new fleet of Konica Minolta photocopier/printers. Once you have logged onto the card reader your are able to perform multiple copies, single side, double side, enlarge/reduce and use with A4 or A3 paper sizes.

Using your new copy card swipe it down the right side of the card reader or if you have a current State Library Card badge it on the front of the card reader.

The Job Selection screen is displayed.

Select “Do Copying  /Scanning” using the vertical slider and the OK button.

If you have sufficient funds you are now able to print.

When you are finished press the END button.

A New Printing System

The current printing system is changing more simplistic and convenient print process. The new printing system allows you to print from any public computer within the library to any public access printer. The existing Canon fleet of photocopiers is being replaced with a new fleet of Konica Minolta photocopier/printers. Your printing will be released and collected directly at the Konica Minolta printer.

Some points to be aware of:

Your printing will default to double sided printing

Your printing will default to black and white printing

HOW TO PRINT

To print you simple click the print button from the application or use
File > Print and select the print queue named BEAR Print Anyware.

You will next see an information box appear on the computer screen and you will be asked to enter your print code to identify your documents at the printer.

Your printing code is the six-character code printed in black found on the front of your new State Library of Victoria print card. Or the card number printed on the front of the existing State Library card.

The next information screen will allow you to see the cost of your print document and to change the document printing to single sided printing and colour printing.

Your document is now sent to the secure print server for holding until you are ready to collect it. Your copy and print account has NOT yet been charged and you can send your document to the secure server with insufficient funds at this stage.

HOW TO COLLECT YOUR PRINTING

Your printing will be held on the secure servers for up to 8 hours waiting for you to release it. If you do not collect it in this time it will be automatically deleted. No one can release your document except you.

To print your documents swipe your card through the card reader. The display of the card reader will change and allow you to select “Print Documents” by pressing the OK button.

Using the vertical slider highlight the document you wish to print and click the OK button.

Alternatively you can press the “Rel. All” soft button found at the bottom of the screen to release all your listed print documents or press the Delete soft key to delete your marked documents.

When your document is printed at this point you must have funds available to pay for the document and to enable it to print. If you do not go to the reload cashiers located in the copy room or use the credit card payment system found at   {enter url} to transfer funds onto your card.

Wireless Printing From Your Laptop

You are now able to print from your laptop to the public access printers in the library using the library’s wireless connection.

After you have accessed the library’s wireless network go to the website:

{enter url}.

You will need to use your library print code (found on the front of your library card) to log on to the website. Your printing code is the six-character code printed in black found on the front of your new State Library of Victoria print card. Or the card number printed on the front of the existing State Library card.

Once you have logged on follow the simple onscreen instructions to upload a document for printing.

Note: Only the following formats are accepted:

  • All Microsoft Office documents including Word, PowerPoint and Excel
  • PDF Files
  • BMP, TIFF, JPG and Gif files

Once your print document has been submitted it will be sent to the Print Anyware queue for release at a public printer.

How To Recharge Your Copy, Print and Scan Card

To recharge your card go to one of the cashier device located in the Copy Centre or use {enter url} to reload your account using either a credit card or MasterCard/Visa debit card.

The cashier devices will accept notes and coins while one is also fitted with EFTPOS (for use with credit/debit cards that have PINs only).

Common Questions

Q: When will the new system go live?

A: Installation of the new system will begin at the end of June with system switch over July 6.

Q: Can I continue to use my existing funds in the new system?

A: Yes. Your existing card can be used to access the new photocopying system and the new printing system however you cannot recharge your existing card.

Q: How do transfer funds from my existing card to the new card?

A: To do this you must firstly purchase a new card from the Card Cashier located in the main copy room. Next take your card to the card transfer station located at Copy Centre and follow the simple onscreen instructions.

Q: Can the current card be used?

A: Yes you can use the current card to copy and print in the same way the new card is used however you cannot recharge the current card. Your print code is the card number printed on the front of the card.
