PrinterCUB Rules Engine Options

While PrinterCUB supports page counting and detailed page attribute collection with some environments more control is required to ensure printing is managed responsbily.

This is where the PrinterCUB rules engine provides to the system administrator the ability to set a range of actions or responses based on set triggers with the PrinterCUB rule engine.

When a documents is printed and a condition is met PrinterCUB will take the action associated with the rule. PrinterCUB rules consist of 4 parts, the condition; the action; exceptions and the response to the user indicating the rules has been initiated.

In speaking with some clients about the rule tool its clear that they have not considered what benefits are properly structed printing policy managed by rules could have to enable better printing management. Once we begin running through just a few of the options it then become clears.

Here is just some simple rules that can be initiated:

  • Allow only specific users to print in colour
  • Force documents with specific names to print in black and white only
  • Force documents of specific type to print in black and white only
  • Redirect print documents over a specific number of pages to print to a larger print room printer (cost reduction benefits)
  • If the document is printed by a senior manager or Managing Director prioritise this document to the top of the any print queues (excellent for keeping the most important staff happy ☺)

Just as important as managing the rule is the user notification process. If a document is moved to another printer because of the rule or if a document is restricted from printing because of the rule then the user and potential print administrator needs to be informed. Using a range of notification methods including pop ups, emails and messaging protocols PrinterCUB will send to the user a message detailing the reason why the rule failed with customisable text.
